1. Price & Currency
All prices are listed in
U.S. Dollars (USD) and are based on current operational costs. High Kings Expeditions reserves the right to adjust prices in case of significant changes in logistics, permits, taxes, or external service costs prior to booking confirmation.
2. Booking & Confirmation
A booking is confirmed once:
- The required deposit has been received, and
- A written confirmation has been issued by High Kings Expeditions.
Availability is not guaranteed until confirmation is provided.
3. Pre-Payment Deposit & Balance
A
20% non-refundable deposit of the total trip cost is required to secure your booking.
The remaining balance must be paid in
Huaraz prior to the start of the trip, unless otherwise agreed in writing.
Failure to complete the payment on time may result in cancellation of the booking without refund of the deposit.
4. Methods of Payment
We accept the following payment methods:
- Wire Transfer: Clients are responsible for all banking and transfer fees. The company must receive the full invoiced amount in the specified currency.
- Western Union
- PayPal: Additional service fees may apply.
All payments must match the currency stated on the invoice.
5. Cancellation & Refund Policy
Cancellations must be made in writing. The following policy applies:
- 90 days or more before departure: Full refund of the deposit
- 60–89 days before departure: 30% of the deposit is non-refundable
- 45–59 days before departure: 50% of the deposit is non-refundable
- 30–44 days before departure: Deposit is non-refundable + 30% of total trip cost
- Less than 30 days before departure: 100% of total trip cost is non-refundable
No refunds will be issued for unused services, voluntary withdrawal, or early departure from the trip.
6. Insurance (Mandatory)
All clients must have
comprehensive travel and expedition insurance valid for the duration of the trip.
The policy must cover:
- High-altitude trekking and mountaineering activities
- Medical expenses
- Emergency evacuation (including helicopter rescue)
- Repatriation
Clients are responsible for verifying that their insurance meets these requirements.
7. Client Responsibility & Medical Conditions
Clients must ensure they are in
adequate physical and mental condition for the chosen expedition.
- Any pre-existing medical conditions must be disclosed prior to booking
- Clients must follow acclimatization recommendations
- High Kings Expeditions reserves the right to refuse participation if a client is deemed unfit, with no refund
8. Guide Authority & Safety
The safety of all participants is our highest priority.
- All clients must follow the guide’s instructions at all times
- The lead guide has full authority to change, modify, or cancel any part of the itinerary
- Decisions may be based on weather, terrain conditions, health of participants, or safety concerns
These decisions are final and
not subject to refund.
9. Itinerary Changes & Force Majeure
High Kings Expeditions reserves the right to modify itineraries due to circumstances beyond our control, including but not limited to:
- Weather conditions
- Natural disasters
- Political unrest or strikes
- Transport delays or cancellations
- Park or government restrictions
Such changes do not entitle the client to a refund.
10. Liability & Assumption of Risk
By booking with High Kings Expeditions, clients acknowledge that
mountaineering and adventure travel involve inherent risks, including but not limited to:
- Altitude sickness
- Falls, injuries, or accidents
- Extreme weather conditions
Clients voluntarily assume all risks associated with participation.
High Kings Expeditions, its guides, and staff are not liable for:
- Personal injury or illness
- Loss or damage of personal property
- Delays or unforeseen events
11. Equipment Responsibility
Clients are responsible for ensuring they have the
required personal equipment as per the provided checklist.
- Rental equipment must be returned in good condition
- Lost or damaged gear will be charged accordingly
12. Delays & Additional Costs
Any additional costs resulting from delays or changes are the responsibility of the client. This includes:
- Extra accommodation
- Meals
- Transport changes
- Rescue-related costs not covered by insurance
13. Accommodation, Transport & Logistics
All services (accommodation, transport, meals, staff) are provided as outlined in the itinerary.
However, substitutions may occur due to availability, safety, or operational conditions, without affecting the overall quality of the experience.
14. Group Size & Pricing Adjustments
Pricing is based on the number of participants agreed upon at the time of booking.
- If additional participants join, the total cost may be shared, reducing the price per person
- If group size decreases, pricing may be adjusted accordingly
15. Environmental Responsibility
Clients are expected to respect the natural environment and follow
Leave No Trace principles at all times.
Any damage caused to the environment or local communities is the responsibility of the client.
16. Media & Image Use
High Kings Expeditions may use photos and videos taken during the expedition for promotional purposes.
Clients who prefer not to appear in such material must notify the company in writing prior to the trip.
17. Acceptance of Terms
By booking a trip with High Kings Expeditions, the client confirms that they have read, understood, and agreed to these Terms & Conditions.
